A new server for the firm, paid for in part by a Chamber of Commerce voucher.

An accounting firm's new accounting software, with AI features, no longer ran well on the firm's server. Rather than simply buying a new one, we built the project around a Rome Chamber of Commerce voucher.

In brief

We have looked after the IT of an accounting firm in Rome since 2019. When its new accounting software needed a more powerful server, we prepared with the firm the application for the Rome Chamber of Commerce 2025 twin transition voucher: we wrote the technical part, the firm the administrative one. The project has two cost items, equipment and consulting, and the invoices follow the call's rules.

Context

The firm works on accounting software installed in a virtual machine on its own server, which we installed in 2024 and keep updated and backed up.

The problem

The new accounting software, with AI features, needs more resources than the server had. At the same time the Rome Chamber of Commerce had opened its 2025 twin transition voucher, which covers consulting and equipment as long as the costs fall within the eligible technologies and quotes and invoices follow the call's rules.

What we did

  1. 01

    Keep the current server going

Meanwhile we updated the server and the virtual machine, resized the VM and put the accounting software backup back in order, before the firm's summer closure.

  2. 02

    The application, written together

The firm handled the administrative part, we wrote the description of the work, the goals and the expected results, picking from the list of eligible technologies those consistent with the project. Training was left out: the people to train had not been hired yet, and it was hard to report.

  3. 03

    Two cost items

Equipment: a business-grade server, four workstations and monitors. Consulting: document sharing with clients, data analysis, integration with the accounting software and a continuity plan.

  4. 04

Invoices that stand up to checks

Invoices are issued as advances, one line per item, with the description the call requires, the CUP code in the text and the voucher reference repeated. Every payment links to its cost item from the first invoice.

How it went

With the CUP code assigned, the first advance invoices have been issued following the call's rules. Installing the new server and workstations, and moving the accounting virtual machine, is under way.

FAQ

Can a chamber of commerce voucher pay for a server?

If the call lists equipment among eligible costs and the purchase is part of a digitalisation project, yes. Limits and percentages vary from call to call: they are checked before applying.

Who writes the application?

We write the technical part, because it is our everyday work. The administrative and tax side stays with the firm or its adviser.

Why invoice in advances?

Because payments follow the project's progress. Each advance still carries the required description and CUP code, like the final invoice, so there are no surprises at reporting time.
